Wargaming’s mobile studio in Helsinki, Finland, is on the lookout for an Administrative Assistant to carry out general office management duties and provide administrative support to the studio leadership

What you will do:

  • Assist the Helsinki studio leadership with the administrative and appropriate personal queries
  • Manage a complex and ever-changing diary, coordinate meeting arrangements, team on/off-sites and “All hands” gatherings
  • Coordinate travel arrangements, plan itineraries and process expenses for the CEO and team members
  • Manage the approval of travel bookings with the appropriate internal signatory
  • Coordinate the approvals process for the sign-off of all team expenditure
  • Maintain the holiday records of the team
  • Help deal with departmental budget control and periodical reporting
  • Perform purchase order raising, invoice reconciliation and coordination of the annual budget process
  • Perform administrative and office support
  • Organize and coordinate internal and external meetings, conferences and video calls, including agenda setting, the collection of pre-reads and presentations, as well as record minutes and track actions
  • Manage the calendar for the CEO and leads
  • Partner with the recruiter to organize and schedule onsite and Skype interviews
  • Coordinate internal events concerning budget control, content, and internal communications with participants; coordinate the preparation and execution of each event
  • Collaborate with other departments within the organization to ensure the flawless execution of the tasks
  • Engage in ad hoc project coordination and support
  • Assist in office support


  • 5+ years of experience in fast-paced executive/personal/team assistant support roles
  • Attention to detail and ability to work to deadlines
  • Excellent communication and strong interpersonal skills
  • Computer literate including Microsoft Office and Outlook
  • Excellent diary management, organization and planning skills
  • Ability to deal appropriately and with integrity on all company confidential matters
  • Ability to prioritize effectively and work on own initiative
  • Multitasking skills, able to effectively manage workload and ensure tasks are completed accurately and on time, effectively and cheerfully


  • Experience within the gaming industry and/or a passion for games
  • Knowledge of Finnish (technical documentation, business correspondence)
